ARTICLE 1: SCOPE OF APPLICATION
- Hotel Goryukan (hereinafter referred to as “the Hotel”) shall conclude accommodation contracts and related agreements with guests in accordance with these terms and conditions. Matters not provided for herein shall be governed by applicable laws and generally established customs. The laws and regulations outlined in these terms and conditions are based on Japanese laws and regulations.
- If the Hotel agrees to special terms within the scope permitted by law and customs, those special terms shall take precedence over the provisions of the preceding paragraph.
ARTICLE 2: APPLICATION FOR ACCOMMODATION CONTRACT

When applying for an accommodation contract with the Hotel, guests shall provide the following information:
- Name, address, and contact information (e.g., a phone number that can be reached on the day of check-in)
- Date of accommodation and expected time of arrival
- Accommodation fees (based on the rates outlined in Appendix 1)
- Number of guests
- Other matters deemed necessary by the Hotel
- If the guest requests an extension of stay during their stay, the Hotel will treat this as a new application for an accommodation contract.
ARTICLE 3: CONCLUSION OF THE ACCOMMODATION CONTRACT
- The accommodation contract shall be deemed concluded when the Hotel accepts the application specified in the preceding article. However, this does not apply if the Hotel proves that it did not accept the application.
- Once the accommodation contract is concluded, the guest must pay the application fee, up to the basic accommodation fee for the stay, by the date designated by the Hotel.
- The application fee will first be applied to the total amount of the accommodation charges to be paid by the guest. If the situations described in Article 6 and Article 18 occur, the application fee will be applied to the cancellation fees and then to the compensation fees. Any remaining amount will be refunded when paying the charges according to Article 12.
- If the guest does not pay the application fee by the date specified by the Hotel, the accommodation contract will lose its effect. However, this is only applicable when the Hotel has informed the guest of the payment deadline.
ARTICLE 4: SPECIAL AGREEMENT WAIVING THE NEED FOR APPLICATION FEE
- The Hotel may agree to waive the need for an application fee after the contract is concluded.
- If the Hotel does not request the payment of the application fee as specified in Article 3, or if the Hotel has not specified a deadline for payment of the application fee, the agreement to waive the application fee will be considered as having been accepted.
Article 4-2: Request for Cooperation with Infection Prevention Measures
The Hotel may request cooperation from those seeking to stay in accordance with Article 4-2, Paragraph 1 of the Ryokan Business Act (Act No. 138 of 1948).
ARTICLE 5: REFUSAL OF CONCLUSION OF THE ACCOMMODATION CONTRACT
The Hotel may refuse to conclude an accommodation contract in the following cases. However, this does not imply that the Hotel may refuse accommodation for reasons other than those stipulated in Article 5 of the Ryokan Business Act.
- If the application for accommodation does not comply with these terms and conditions.
- If there are no available rooms due to full occupancy.
- If the guest is deemed likely to engage in actions contrary to laws, public order, or good morals in relation to accommodation.

If the guest falls under any of the following categories:
- A member of an organized crime group, as defined in the Act on the Prevention of Unjust Acts by Gangsters (Act No. 77 of 1991), or a related person or any anti-social force.
- A corporation or organization controlled by such a group.
- A corporation with officers who are members of organized crime groups.
- If the guest’s behavior causes significant trouble to other guests.
- If the guest requests special treatment due to health reasons, but the Hotel cannot ensure safe accommodation and dining due to the nature of the services and facilities provided.
- If the guest is a patient of a specified infectious disease under Article 4-2, Paragraph 1 of the Ryokan Business Act.
- If the guest is a minor (under 18 years old) and is not accompanied by an adult (18 years or older).
- If violent demands are made in relation to accommodation, or if unreasonable burdens are requested (excluding those related to the promotion of the removal of social barriers for persons with disabilities as stipulated in the Act on the Elimination of Disability Discrimination).
- If the guest makes repeated requests that impose excessive burdens on the Hotel’s ability to provide services to other guests, as outlined in the Ryokan Business Act Regulations.
- If the Hotel cannot accommodate the guest due to natural disasters, facility malfunctions, or other unavoidable circumstances.
- If the guest’s stay violates the ordinances set forth by Nagano Prefecture or Hakuba Village.
ARTICLE 5-2: EXPLANATION OF REFUSAL TO CONCLUDE THE ACCOMMODATION CONTRACT
If the Hotel refuses to conclude the accommodation contract based on the above, the guest may request an explanation of the reason for the refusal.
ARTICLE 6: GUEST’S RIGHT TO CANCEL THE CONTRACT
- The guest may cancel the accommodation contract by notifying the Hotel.

If the guest cancels the accommodation contract, they must pay a cancellation fee in accordance with Appendix 2. However, no cancellation fee will be charged in the following cases:
- If the Hotel has requested the payment of the application fee in accordance with Article 3, Section 2 of the Terms and Conditions, and the guest cancels before the fee is paid.
- If the Hotel has agreed to a special contract under which cancellation without a cancellation fee is allowed (provided the Hotel has informed the guest of this beforehand)
- If the guest does not arrive by 21:00 on the date of accommodation without notifying the Hotel, the Hotel may treat the accommodation contract as canceled by the guest.
ARTICLE 7: HOTEL’S RIGHT TO CANCEL THE CONTRACT

The Hotel may cancel the accommodation contract in the following cases:
- If the guest is likely to engage in actions contrary to laws, public order, or good morals, or if such actions are confirmed.
- If the guest falls under any of the categories listed in Article 5.
- If the guest causes significant inconvenience to other guests.
- If the guest requests special accommodation due to health reasons, but the Hotel cannot ensure safe accommodation and dining due to the nature of the services and facilities provided.
- If the guest is a patient of a specified infectious disease.
- If the guest is a minor and is not accompanied by an adult.
- If violent demands are made or unreasonable burdens are requested (excluding those related to the promotion of the removal of social barriers for persons with disabilities as stipulated in the Act on the Elimination of Disability Discrimination).
- If the guest makes repeated requests that impose an excessive burden on the Hotel’s ability to provide services to other guests, as outlined in the Ryokan Business Act Regulations.
- If the Hotel cannot accommodate the guest due to natural disasters or other unavoidable circumstances.
- If the guest’s stay violates the ordinances set forth by Nagano Prefecture or Hakuba Village.
- If the guest violates smoking regulations (such as smoking in the guestroom), engages in tampering with fire safety equipment, or fails to comply with other prohibited actions outlined in the Hotel’s usage rules as specified in Article 10 of these Terms of Use.
- If the Hotel cancels the contract based on the above reasons, the Hotel will not charge the guest for services not yet provided.
ARTICLE 8: REGISTRATION OF ACCOMMODATION

On the day of accommodation, the guest must register the following information at the Hotel front desk:
- Name, address, and contact information
- For foreign guests without an address in Japan, nationality and passport number
- Any other information deemed necessary by the Hotel
- If the guest wishes to pay by alternative methods such as travel checks, accommodation vouchers, or credit cards, these must be presented at the time of registration, as stipulated in Article 12 regarding the payment of accommodation fees.
ARTICLE 9: USE OF GUESTROOMS
- The guest may use the guestroom from the check-in time to the check-out time specified in the accommodation contract. However, if staying consecutively, the room may be used throughout the day except for the arrival and departure dates.
- If a change of guestroom is required during the stay, there may be periods during cleaning hours (e.g., from 10:00 to 14:00) when the guest cannot use the room. Guests will be informed of this in advance during booking or check-in.
- The Hotel may allow the use of rooms outside the standard check-in/check-out hours. In such cases, the Hotel will charge an additional fee of ¥5,000 per 30 minutes after the standard check-out time.
ARTICLE 9-2: ENTRY TO GUESTROOMS
The Hotel may enter the guestroom without the guest’s permission in the following cases:
- For cleaning or other Hotel services
- If the guest is deemed likely to engage in actions contrary to laws or good morals
- If required by police or fire department instructions
- If necessary for the maintenance of the building or equipment
- If the Hotel determines that entry is necessary to ensure the guest’s safety or well-being
ARTICLE 10: COMPLIANCE WITH HOTEL RULES
Guests must comply with the Hotel’s rules as specified in these Terms of Use during their stay.
ARTICLE 10-2: MANAGEMENT OF PERSONAL INFORMATION
The Hotel will manage and use the personal information of guests obtained at the time of reservation, check-in, and during their stay based solely on the Hotel’s privacy policy.
ARTICLE 11: BUSINESS HOURS

The business hours of the Hotel’s main facilities are as follows. Detailed hours for other facilities will be provided on-site or in the Hotel’s informational materials.

Front Desk Hours
- Front Desk Service: 7:00 AM to 10:00 AM, 2:00 PM to 9:00 PM
- Main Entrance Locking Time: 9:00 PM

Restaurant Hours
- Breakfast: 7:00 AM to 9:00 AM
- Dinner: 6:00 PM to 8:00 PM
- Bar: 2:00 PM to 9:00 PM (December to March), 3:00 PM to 8:00 PM (April to November)

Hot Spring & Sauna Hours
- Hot Spring: 6:00 AM to 10:00 AM, 3:00 PM to 11:30 PM
- Sauna: 3:00 PM to 11:30 PM (Advance reservation required; available 6:00 AM to 10:00 AM)

Front Desk Hours
- These hours may be temporarily adjusted in case of necessity or unforeseen circumstances. In such cases, appropriate notice will be provided.
ARTICLE 12: PAYMENT OF ACCOMMODATION CHARGES
- The breakdown of accommodation charges payable by the guest is as outlined in Appendix 1.
- Payment of the charges outlined in the preceding paragraph should be made in cash or by a method recognized by the Hotel, such as travel checks, accommodation vouchers, credit cards, or electronic payments, from the time the accommodation contract is concluded until check-out or when the Hotel requests payment.
- Even if the guest voluntarily decides not to stay after the room has been provided and is available for use, the accommodation charges will still be due.
ARTICLE 13: HOTEL’S RESPONSIBILITY
- If the Hotel causes damage to the guest due to the fulfillment or non-fulfillment of the accommodation contract and related agreements, the Hotel will compensate for such damages, except in cases where the damages are not caused by the Hotel’s fault.
- The Hotel is insured with liability insurance to handle incidents such as fires.
ARTICLE 14: HANDLING WHEN THE CONTRACTED ROOM CANNOT BE PROVIDED
- If the Hotel is unable to provide the contracted room, the Hotel will make every effort to arrange alternative accommodations under the same conditions, with the guest’s consent.
- If the Hotel cannot arrange an alternative accommodation as specified in the preceding paragraph, the Hotel will pay the guest compensation equivalent to the cancellation fee, which will be applied to the damage compensation. However, if the inability to provide the room is not due to the Hotel’s fault, the Hotel will not pay compensation.
ARTICLE 15: HANDLING OF DEPOSITED ITEMS
- If the guest deposits goods, cash, or valuables at the front desk and these items are lost or damaged (except for force majeure), the Hotel will compensate for the damages. However, for cash and valuables, if the Hotel has requested the guest to declare their type and value and the guest has not done so, the Hotel will compensate for damages up to ¥100,000.
- If the guest brings in goods, cash, or valuables to the Hotel but does not deposit them at the front desk, and these items are lost or damaged due to the Hotel’s fault, the Hotel will compensate for the damages. However, if the guest did not declare the type and value of the items in advance, compensation will be limited to ¥100,000, except in cases of the Hotel’s intentional acts or gross negligence.
ARTICLE 16: STORAGE OF GUEST LUGGAGE OR PERSONAL BELONGINGS
- If the guest’s luggage arrives before the check-in date, the Hotel will store it responsibly only if the Hotel has confirmed the receipt, and will provide it when the guest checks in at the front desk.
- If the guest leaves personal belongings after check-out, and the owner is identified, the Hotel will contact the owner and seek instructions. However, if the owner cannot be contacted or identified, valuable items will be delivered to the nearest police station within seven days, and other items will be stored for seven days before disposal. Items that could spoil or items that are clearly broken will be discarded the following day, even during the storage period.
- The Hotel’s responsibility for storing luggage or personal belongings is governed by the provisions of Article 15.
- The Hotel may inspect the contents of lost and found items to handle them appropriately based on their nature.
- If any costs arise from returning or disposing of lost property, the owner will be charged, and disposal costs will be calculated based on the Hakuba Village Waste Disposal Regulations.
ARTICLE 17: PARKING RESPONSIBILITY
If the guest uses the Hotel’s parking lot, the Hotel merely provides a space for the vehicle, regardless of whether the vehicle key is deposited, and does not assume responsibility for the management of the vehicle or the prevention of harm caused by third parties. However, if damage occurs to the vehicle due to the Hotel’s intentional act or negligence, the Hotel will be liable for compensation.
ARTICLE 18: GUEST’S RESPONSIBILITY
If the guest causes damage to the Hotel through their intentional or negligent acts, the guest will be responsible for compensating the Hotel for the damages.
ARTICLE 19: GOVERNING LAW AND JURISDICTION
Disputes regarding accommodation and related contracts between the Hotel and the guest shall be governed by Japanese law, and the Nagano District Court shall be the exclusive court of first instance.
ARTICLE 20: AMENDMENTS TO THE ACCOMMODATION TERMS AND CONDITIONS

The Hotel may, at its discretion, amend these terms and conditions under the following circumstances:
- If the amendment benefits the guest.
- If the amendment does not contradict the purpose of the accommodation contract and is considered reasonable based on the necessity, content, and other factors.
- When these terms and conditions are amended, the Hotel will display the changes and the content of the revised terms on the Hotel’s website or other means at least two weeks before the effective date of the changes.

- The above cancellation fees are the basic regulations, and different cancellation policies may apply depending on the room type or package selected at the time of booking. Please refer to the cancellation policy specified for each room type or package for details

For group bookings (15 people or more), a deposit is required at the time of booking. The deposit is non-refundable and will be applied as a cancellation fee. If the specified deposit is not paid, the booking will be considered cancelled after 30 days. Details will be provided at the time of booking.
- For 15-30 people: A 30% deposit is required at the time of booking.
- For 31 or more people: A 100% deposit is required at the time of booking.
